Dear Club Directors,

 

Periodically I will send friendly reminders out, especially at the beginning of the season.  Please be aware that I will not always do this and that you are responsible for meeting all deadlines.  There are some very important items in this email so please make sure that you read through it completely.

·       Club Application Deadlines – if you have not submitted your paperwork yet, please do so as the club application MUST be in the IVA office 3 weeks prior to your first club activity. This includes tryouts, team meetings, etc.

·       Tournament Deadlines – these dates have changed a bit from years past.  The first deadline is fast approaching (December 14).  All paperwork for your teams must be in ONE WEEK prior to that tournament entry deadline.

·       How to send in your paperwork – When you are on the D4 system, follow these steps when sending in your paperwork:

o      Log into club account

o      Place all staff and players on teams

o      Register teams for the “Junior Team Fee” which is $100

o      Click on the “IVA Registration” Button located top right

o      Click on the “Registration Summary” and pay all necessary fees

o      Go back to the previous screen where it lists all teams

o      For each team, click the “Team Registration Summary” link.  Print off that roster which should show everyone as paid

o      Attach this form to all corresponding membership forms

§        Repeat this for each team

·       Registering for Tournaments – On the screen that lists all teams, click the “register now” button to register a team for one or multiple tournaments.  You do NOT need to send in any forms when registering for tournaments.

·       PAYMENTS – all payments must be made online.  IVA will only accept checks for Background Screenings.

·       D4 Tech support – D4 has asked that all correspondence be done through their online help.  You can access this at this link:  http://www.clubspaces.com/support/contact.php  SAVE THIS LINK TO YOUR COMPUTER!!!!!!!  If you do not hear back in a timely fashion, please call them.  This is to help distribute problems properly and hopefully saves time and frustration.

·       Power League – two clubs have asked me about paying for the power league in payments rather than all up front.  We are able to do that, however it will cost more.  Here are your two options for paying for Power League:

o      One Payment - $1500 total, due at registration (Due 12/28)

o      Two Payments of $800 each – total $1600 (Due 12/28, 2/1)

o      Three Payments of $6000 – total $1800 (Due 12/28, 1/15, 2/15)

·       Christmas Tournament – I need a response on this one…how many clubs/teams are interested in this. We have not put numbers to it, just thought we would offer something over Christmas if anybody was interested. We have had several calls.  Here is what we are thinking.  We can take 44 teams total.  We would split that among age groups based on interest.  To keep cost down, you would ref your own and we would play it similar to a Mandatory tournaments.  Format would be based on number of teams entered in the division and would be LOW KEY, just a chance for teams to get in the gym and shake the cobwebs off.    If all clubs could get back to me no later than November 29th, with how many teams in each age group they would have that want to attend, that would help.  We will decide by December 3rd based on response whether we will have that event or not.
